For speech therapy clinics

Speech therapy scheduling that parents can use

A calm, clear website where parents and adult patients learn how you work, ask questions any time and book an assessment or session with the right therapist.

Demo clinic · illustration

Families often reach a speech therapist after a long time of wondering whether to seek help. When they finally do, they want to understand what an assessment involves, what it costs and when a therapist can see their child, without having to phone during the school run.

Velvet Lead builds your speech therapy practice a website that answers those questions gently and lets families book. Assessments and ongoing sessions are separate appointments, each therapist's schedule and time off are respected, and reminders reach the parent or guardian who made the booking.

What makes speech therapy booking tricky

  • Parents with a narrow window

Most families can only come after school or on certain days. Finding a time that suits them and a therapist's caseload takes several calls or messages back and forth.

  • Anxious questions, slow replies

A parent messages late at night asking how an assessment works. Your therapists are with patients all day, and a worried family can wait a long time for a reply.

  • Sessions disrupted by time off

When a therapist is on leave or training, regular sessions need rearranging. If the diary doesn't know about the absence, families can end up booked for a session that can't happen.

How Velvet Lead helps

How Velvet Lead supports your practice

Set up with your services, your therapists and the ages you see, with wording your team is comfortable with.

  • Assessments and sessions as separate appointments

Set up an initial assessment and a regular therapy session as different treatments, each with its own length and clean-up time. Families can see the difference before they book.

    Online booking: how it works
  • Therapist schedules and time off

Each therapist has their own weekly hours, the services they offer and blocked time off. Clinic closures and holidays are blocked too, so families only see times that can go ahead.

    Admin panel: how it works
  • Parents book with their own details

A parent or guardian makes the booking with their name, phone number and email, so confirmations and reminders go to the adult responsible for bringing the child.

    Email notifications: how it works
  • Gentle answers at any hour

The AI assistant explains what your assessment involves, the fees and your opening hours, using only what you've written. It doesn't comment on a child's development or suggest whether therapy is needed.

  • Referrals kept in one place

Enquiries from schools, doctors, other families and your website sit together in the lead inbox, with their source, notes and a follow-up date for each family.

Questions families ask the assistant

It answers only from your services, fees, therapist profiles, FAQs and documents you upload, such as a guide to the first visit. Anything it can't answer is logged for your team.

  • What happens at a first speech and language assessment?
  • Can I stay in the room with my child?
  • Do you have an assessment after school on Tuesday or Thursday?
  • What age do you start seeing children from?
  • Do you also see adults after a stroke?
  • How much are regular sessions after the assessment?

Answers from the clinic's own information

Example conversation
  1. Patient:

My son is 3 and doesn't say many words yet. Does he need speech therapy?

  2. Assistant:

I'm not able to assess that, and it's a good question to talk through with a therapist. The clinic offers children's assessments, and I can show you free times or request a callback so the team can explain more.

  3. Patient:

Could we do an assessment after 3:30 on Thursday?

  4. Assistant:

These children's assessment times are free on Thursday afternoon. Choose one and enter your details as the parent or guardian on the booking page.

    • 3:30 PM
    • 4:15 PM
    • 5:00 PM

Settings

Settings speech therapy practices usually choose

Chosen with our team at setup. Your pages, booking steps and messages use them throughout.

Staff title

Therapist

Families see “therapist” on profiles and during booking, which feels familiar and friendly.

Confirmation mode

Manual confirmation

Your team reviews each request, for example to check the service suits the child's age, before confirming. Unconfirmed requests expire and the family is told kindly.

Minimum age

Set per service

Each service page shows the age it's intended for, so families can see whether it fits before booking.

Arrival instructions

For example “please bring any reports from school or your doctor”

Parents arrive prepared, and the first appointment starts calmly.

Reply-time promise

Your own wording

Families who send an enquiry know when to expect a reply, which eases the wait.

Respectful by design

Speech therapy pages need a careful tone. Your therapists write the descriptions, and every service page has space for who it's for, the age range and what to expect, without promises about progress.

Velvet Lead is for booking and enquiries only. It doesn't hold clinical notes, assessment reports or therapy plans, and it doesn't run telehealth video sessions. Each team member only sees what their role allows, enforced by the database, and you can manage staff access through team access.

Reminders that reach the right person

Confirmed appointments get an email reminder, and a WhatsApp reminder if the parent opted in when booking. If a session is moved because a therapist is away, the old reminder is dropped and the family is told about the new time.

In Pakistan, fees show in PKR and +92 numbers are checked. In the USA, fees show in USD, time zones follow daylight saving time, and practices that need a HIPAA Business Associate Agreement should talk to our team first.

Right for you if…

  • Children or adults book one-to-one sessions with a therapist

  • Parents or guardians usually make the booking and receive the reminders

Not right yet if…

  • You run group sessions or social communication groups

  • You need insurance or funding claims handled
  • You want families to prepay a block of sessions online

FAQ

Speech therapy: common questions

Can a parent book on behalf of their child?

Yes. The parent or guardian books using their own contact details, so confirmations and reminders go to them. Your team can add notes on the enquiry in the lead inbox.

Can assessments and regular sessions have different lengths?

Yes. Each is a separate treatment with its own duration, price and clean-up time, and online booking only shows times that fit.

What happens when a therapist is on leave?

Add their time off in the admin panel and those times disappear from online booking. If existing sessions need moving, your team reschedules them and the family receives the updated details.

Can we offer online video sessions?

Not yet. Velvet Lead doesn't include telehealth video. It handles your website, bookings, enquiries and reminders for in-clinic appointments.

Will the assistant tell parents whether their child needs therapy?

No. It doesn't assess or give clinical advice. It explains your services from your own information, shows free times and offers a callback request so a therapist can talk with the family.

Can we store therapy notes or reports?

No. There are no clinical notes or records in Velvet Lead. Keep those in your existing clinical system.
