Patient review requests, sent at the right moment

After a visit is completed, patients get an email inviting them to review it on your own website. They choose whether you can show it publicly, and you approve what's published.

Happy patients rarely leave reviews by themselves

Most clinics have far more satisfied patients than reviews. The gap is almost always the asking.

  • Nobody remembers to ask

    The front desk means to ask at checkout, then the phone rings. A week later it feels too late.

    A blanket email to everyone reaches patients who already reviewed, or whose appointment never happened.

    A patient shares something personal meant for the team. It shouldn't ever end up on your website.

How it works

Completed visit to published review

Review requests start from the visit itself, so only real, completed visits get one.

  1. The visit is completed

    When a practitioner signs the note, or the visit is marked completed, the review request is scheduled.

  2. The email goes out

    After 24 hours by default, the patient receives an email with a link to review that visit. Your clinic sets the delay.

  3. The patient chooses who sees it

    They decide whether the clinic may show their review publicly, or share it with the team only.

  4. You approve what's published

    Reviews arrive as drafts in your admin panel. You choose which public reviews appear on your website.

Private means private, enforced

If a patient marks their review as for the team only, it can't be published. That isn't a setting someone could switch by mistake: the database itself prevents a private review from going public.

Patients can be honest in private feedback, knowing it stays with your team.

One review per visit, and no nagging

Each visit can be reviewed once, and the review link stays open for 60 days.

A patient who already left a review from their booking page isn't emailed again. And a review request that would arrive more than a week late is skipped rather than sent.

Reviews on your own website

Reviews are collected on your clinic's own website and shown there once you publish them, alongside your treatment pages, FAQs and before-and-after gallery. Read more about your clinic website.

Timed around the treatment

The default delay of 24 hours gives patients time to get home and settle in. Your clinic can change it, for example to allow for treatments where results take a few days to show.

Part of the whole journey

The review request is one step in the patient's journey: booking, reminders, check-in, the visit, the review, and later a rebooking reminder when it's time to come back.

Two ways for patients to review

Patients don't have to wait for the email. Every booking has a private manage page, and after the visit it includes a way to leave a review directly.

If a patient reviews from their manage page first, they aren't emailed a request afterward, so nobody is asked for something they've already given.

Who uses it

Review requests run on their own, but a few people touch them:

  • Managers review new drafts in the Website section and publish the public ones.
  • Owners and admins set whether review requests are switched on and how long after a visit they go out.
  • Practitioners complete the visit by signing the note, which is what starts the request.

What review requests don't do

Worth being clear about, especially if you're focused on Google.

  • Reviews are collected on your own website. They aren't posted to Google, Facebook or any review platform.
  • Review requests go by email only, not WhatsApp or text.
  • Only completed visits get a request. Canceled or no-show visits don't.

When is the review request sent?
