Nutrition practices live on repeat visits. A patient's first consultation is long and detailed, and the check-ins that follow are shorter and spaced out. When booking happens over WhatsApp or the phone, that difference gets lost, and returning patients drift away between appointments.
Velvet Lead builds your practice a website on your own domain with separate pages for each type of appointment, online booking that respects each dietitian's schedule, an AI assistant that handles the everyday questions, and reminders by email and WhatsApp. We do the setup and train your team.
What makes nutrition bookings messy
“What's included in the package?”
Patients want to know what a three-month plan or a set of check-ins covers before they book. Explaining it again in every message eats into time you could spend with patients.
Follow-ups that never get booked
At the end of a consultation everyone agrees to meet again in a few weeks. Then the patient gets busy, nobody sends a reminder, and the next visit simply doesn't happen.
Your evenings spent on scheduling
Patients with day jobs want early mornings, evenings and weekends. Coordinating those slots by message after hours turns every dietitian into a part-time receptionist.
How Velvet Lead helps
How Velvet Lead works for a nutrition practice
The setup mirrors the way dietitians and nutritionists already see patients: a detailed first visit, then regular follow-ups.
Initial consult and follow-up, clearly separated
Create an initial consultation and a follow-up as separate treatments, each with its own duration, price and page. Patients pick the right one, and first visits are flagged so you can prepare.
Online booking: how it worksPackages explained on their own pages
Describe what a consultation package includes on a treatment page: how many appointments, how far apart, and the price. Patients book each appointment online and pay at the clinic, because there are no online payments yet.
Clinic website: how it worksEveryday questions handled at any hour
The AI assistant answers from your prices, appointment types, opening hours and uploaded documents, such as a “preparing for your first visit” sheet. It shares real free times with a booking link, but it doesn't create meal plans, give dietary advice or book on its own.
AI assistant: how it worksReminders before every check-in
Confirmed appointments get an email reminder, plus a WhatsApp reminder for patients who opt in. If the follow-up is rescheduled, the patient is told and the old reminder is dropped.
Email notifications: how it worksReferrals and enquiries in one place
Doctor referrals, website forms, callback requests and social media messages all go into one lead inbox, so you can see where new patients come from and which enquiries became bookings.

Example
An example appointment page
Every appointment type gets a page on your website. This example is illustrative only. Your dietitians write the content, and it should explain the appointment rather than promise a result.

AI assistant
Questions patients ask the assistant
Everything the assistant says comes from the information your practice provides. When it doesn't know the answer, it logs the question and offers a callback request.
- “What's the difference between an initial consult and a follow-up?”
- “What does your three-month package include?”
- “Do you have an appointment before 9 AM on Tuesday?”
- “Should I bring anything to my first appointment?”
- “Can I pay for the package in advance?”
- “Can I move my follow-up to next week?”

Answers from the clinic's own information
- Patient:
Is there a follow-up appointment free on Saturday morning?
- Assistant:
Yes, there are follow-up times on Saturday morning. Choose one and confirm on the booking page.
- 9:00 AM
- 9:45 AM
- 11:30 AM
- Patient:
I'm pregnant. What should I be eating?
- Assistant:
I'm not able to give dietary or medical advice, especially during pregnancy. Please speak to the practice or your doctor. I can request a callback from the practice for you.
Settings
Settings nutrition practices usually choose
Picked during setup and editable later. The website, booking flow and messages all use them.
- Staff wording
Clinicians or practitioners
The site uses one title everywhere. Your team's own titles, such as dietitian or nutritionist, and their qualifications go on your About page.
- Arrival note
Your wording
Tell patients what to bring or where to find you. Your website uses your own wording for arrival instructions.
- How patients pay
A note, for example “pay at reception after your appointment”
Sets expectations clearly, since packages are described on the site but paid for at the practice.
- Cancellation window
Your policy, for example 24 hours
Patients cancel through their private manage link within the window, so the slot opens for someone else.
- Booking window
Far enough ahead for follow-ups
If follow-ups are spaced several weeks apart, let patients book far enough ahead to secure the next one.
What stays outside Velvet Lead
Velvet Lead runs the website, bookings, enquiries and reminders. It doesn't store clinical notes, food diaries, meal plans or patient records, and it has no built-in video calls. Keep those in the tools you already use.
There are no online payments yet, so packages can't be sold or prepaid on the website. What you can do is explain each package clearly on its own page, so patients arrive knowing what they're booking.
Seeing whether follow-ups are kept
Your reports show appointments, completed visits, cancellations and no-shows by treatment and by practitioner. Comparing initial consultations with follow-ups over 30 or 90 days shows whether patients are coming back as planned.
Nutrition practices often work alongside other clinics. See how Velvet Lead supports weight loss clinics and private doctors who refer patients for dietary support.
Built for the USA and Pakistan
Practices in Pakistan get prices in PKR, +92 number checks and WhatsApp confirmations for patients who opt in. See clinic websites in Pakistan.
Practices in the USA get prices in USD and their own time zone, with daylight saving time handled. Velvet Lead is built for booking and enquiries, not clinical records, so if you need a HIPAA Business Associate Agreement, talk to us first. See clinic websites in the USA.

FAQ
Dietitians and nutritionists: common questions
Can we show consultation packages on our website?
Yes. A treatment page can describe what a package includes and its price. Patients book each appointment online and pay at the practice, because there are no online payments yet.
Can initial consultations and follow-ups have different lengths?
Yes. Set them up as separate treatments with their own durations and prices. Booking only offers times long enough for the appointment chosen, and first visits are flagged.
Can we keep patient notes or meal plans in Velvet Lead?
No. Velvet Lead doesn't store clinical notes, meal plans or patient records. It handles your website, bookings, enquiries and reminders, so keep notes in the system you use today.
Will the assistant give patients diet advice?
No. It answers practical questions from your practice's own information, such as prices, appointment types and opening hours. Health, medication and pregnancy questions are pointed to your practice.
Can patients reschedule a follow-up themselves?
Patients can cancel within your cancellation window using the private manage link in their confirmation, then book a new time. Your team can also reschedule appointments in the admin panel.
Does it work for online video consultations?
There are no built-in video calls. Velvet Lead is designed for one-to-one appointments at one location. If most of your work happens over video, talk to us on a demo first.
