Most clinics still book appointments through a chain of messages. It works, until it doesn't.
“Do you have anything Saturday?”
Someone on your team has to check the diary, reply, wait, and check again. By the time they answer, the patient has asked another clinic.
Booking tools that don't know your diary
A generic calendar shows 3:00 PM as free, but your laser practitioner is off that afternoon and the room needs cleaning between patients.

A patient sends a request, hears nothing back, and turns up anyway. Now the front desk has an awkward conversation and an unhappy patient.

Five steps, all on your own website
The booking flow lives on your clinic's domain, in your brand. Patients never leave your site for a third-party page.
Choose a treatment
Patients pick from the treatments you have switched on for online booking. Treatments that need a consultation first can stay off.
Choose a practitioner, or anyone available
Only practitioners who perform that treatment appear. Patients who don't mind who they see pick “anyone available” and get the widest choice of times.
Pick a date and time
The calendar shows only times that are genuinely free, worked out from opening hours, schedules, time off and the treatment's length.
Enter their details
Name, email and a mobile number checked for your country's format. Patients can opt in to WhatsApp updates and, separately, to marketing.
Review and confirm
Patients see a summary before they send it. They get an email straight away and a private link to manage the booking.

Only times that are actually free
The slots a patient sees are calculated from the same rules your front desk already follows. Nobody has to keep a second calendar up to date.
Availability takes into account:
- Your clinic's opening hours, closures and public holidays
- Each practitioner's weekly working hours and time off
- The length of the treatment the patient chose
- Clean-up time between appointments, set per treatment
- Minimum notice, so nobody books a slot that starts in ten minutes
- How far ahead patients are allowed to book
- Your clinic's time zone, including daylight saving time changes in the USA
Two patients can't take the same slot
If two people try to book the same practitioner at the same time, only one booking goes through. This is enforced by the database itself, not by a hopeful check in the browser.
The second patient is asked to pick another time, before anyone has made plans around a clash.
Manual or instant confirmation: your choice
Some clinics want to look at every request before it becomes an appointment. Others want patients confirmed on the spot. You pick the mode in settings, and you can change it later.
With manual confirmation, new requests appear in the admin panel for your team to confirm, reschedule or decline. With instant confirmation, the slot is booked as soon as the patient presses confirm.
Unconfirmed requests expire kindly
If you use manual confirmation, a request that nobody confirms doesn't sit in limbo. After the number of hours you choose, it expires automatically and the patient receives a polite message explaining that the time wasn't confirmed and inviting them to book again.
That means no patient arrives for an appointment that was never actually confirmed, and your diary never holds a slot for a request nobody looked at.
Patients cancel themselves, inside your rules
Every booking comes with a private manage link. Patients who can't make it cancel through that link within your cancellation window, and the slot becomes available for someone else.
Outside the window, the link tells them to contact the clinic. Your policy is applied the same way every time, without the front desk having to enforce it.
Reminders for the canceled appointment are dropped automatically. Read more about how reminders work.
Phone and walk-in bookings in the same diary
Not every patient books online. Your front desk adds phone calls and walk-ins from the admin panel, so the diary online and the diary at reception are always the same one.
First visits are flagged automatically, so your team knows who is new before they walk in. You can see every booking alongside the enquiry it came from in the lead inbox.
Where online booking fits different clinics
A laser hair removal clinic might offer instant booking for returning patients' sessions and keep patch tests as their own bookable treatment. A dental clinic might let patients book check-ups online but keep implant consultations as a request.
A physiotherapy clinic can separate an initial assessment from shorter follow-ups, each with its own length and clean-up time. A massage therapy practice can list 30, 60 and 90 minute sessions and let clients choose their therapist.
Honest limits
What online booking doesn't do yet
We would rather you know now than find out after launch.
- No online payments or deposits. Patients pay at the clinic.
- One-to-one appointments only. Group classes such as yoga, pilates or antenatal classes aren't supported.
- Only practitioner time is scheduled. Rooms and machines aren't booked separately.
- One location per website. Multi-branch clinics would need a separate site for each location.
- The AI assistant can suggest free times, but it never books on a patient's behalf. Patients always confirm on the booking page.

FAQ
Questions clinics ask
Can patients book without calling the clinic?
Yes. Patients choose a treatment, a practitioner (or anyone available), a date and time, and enter their details on your website. Depending on your settings, the booking is confirmed instantly or sent to your team to confirm.
What happens if we don't confirm a request in time?
It expires automatically after the number of hours you set, and the patient is told kindly that the time wasn't confirmed. The slot is released and nobody turns up expecting an appointment that doesn't exist.
Can we stop certain treatments from being booked online?
Yes. Each treatment has an online booking switch and a “consultation required” option. Patients can still send a consultation request for treatments that aren't bookable directly.
How does booking handle daylight saving time in the USA?
Availability is calculated in your clinic's own time zone, including daylight saving changes, so a 9:00 AM appointment stays at 9:00 AM local time on both sides of the change.
Can patients pay a deposit when they book?
Not yet. There are no online payments or deposits. Patients pay at the clinic. A clear cancellation window, reminders and the self-cancel link help protect your diary instead.
Can the front desk add bookings too?
Yes. Phone and walk-in bookings are added from the admin panel, into the same diary and with the same availability rules as online bookings.
