A note on HIPAA and clinical records
Velvet Lead is built for appointment booking and enquiries, not clinical records. It doesn't store charts, intake forms, treatment notes or prescriptions. If your practice needs a HIPAA Business Associate Agreement, talk to our team before you start.
What it does do is keep access tight: each team member sees only what their role allows, and that is enforced by the database. Marketing consent and privacy-notice acceptance are recorded for each client. See our security page for the plain-language detail.
Reminders and a clear view of the week
Confirmed appointments get an email reminder, and clients who opt in also get a WhatsApp reminder. If an appointment is moved or canceled, the outdated reminder is never sent. Clients who want to talk to you can call the clinic; there are no SMS messages.
Your reports show appointments, completed visits, cancellations, no-shows and revenue by treatment and by practitioner, compared with the previous period. You can see which drips are booked most and which days need more staff.

Can we list every drip with its own price?
Yes. Each drip is a treatment with its own page and price field. You can show a fixed price, a price range or “price at consultation”, and update prices yourself in the admin panel.
Can some drips require a consultation first?
Yes. Any treatment can be marked as consultation required, and online booking can be switched off for it, so clients send a consultation request and your team follows up.
What happens when a client asks the assistant about medication or pregnancy?
The assistant doesn't answer medical questions. It points pregnancy and medication questions to your clinic, emergencies to emergency services, and can offer a callback request.
What about HIPAA and client records?
Velvet Lead is built for appointment booking and enquiries, not clinical records such as charts or intake forms. If your practice needs a Business Associate Agreement, talk to our team before you start.
Can clients get reminders by SMS?
No. Reminders go by email, and by WhatsApp for clients who opt in when they book. Clients who need to reach you can call the clinic.
Do you support mobile IV services?
Not yet. Each website is for one clinic location, and only practitioner time is scheduled. If most of your appointments happen at clients' homes, talk to us before going further.
Can clients pay for a drip when they book?
Not yet. There are no online payments or deposits, so clients pay at the clinic. You can add a note on the website explaining how payment works.
