For practitioners opening a clinic

A website for a new clinic that takes bookings

Send us your treatments, prices, team and logo. We build the site, set up booking and enquiries, and train your team, so you open with a working front door.

Opening a clinic means a hundred jobs at once: fitting out the room, hiring, registering, stocking, and telling people you exist. The website often gets left until last, then patched together from a template, a separate booking app and an Instagram link.

Velvet Lead takes that job off your list. We build a complete website for your new clinic on your own domain, load your treatments and schedules, train the AI assistant on your information, and connect email and WhatsApp. Our launch timeline is about one week from receiving your clinic details. From your first enquiry, you can see where every patient came from.

Why new clinics start on the back foot

  • Paying for three tools that don't talk

A designer builds the site, a booking app lives on another link, and enquiries sit in DMs. Each costs money and time to set up, and none of them share information.

  • Interest before the doors open

Friends, followers and early ads create interest weeks before launch. Without somewhere to leave their details, those people drift away before you can book them.

  • No idea which launch effort worked

You post, boost, hand out flyers and ask for referrals. A month later you have patients, but no record of which effort brought them in.

How Velvet Lead helps

What Velvet Lead sets up for you

You bring the clinic. We handle the build and launch, then your team runs it from one admin panel.

  • A complete site, not a template

Home, treatments, individual treatment pages, pricing, about, FAQ, contact, a consultation request page and online booking, in your logo and accent color on your own domain.

    Clinic website: how it works
  • Consultation requests before opening

Keep online booking switched off for treatments until you're ready, and let early interest come in through the consultation request page. Every request lands in your lead inbox with its source.

    Lead inbox: how it works
  • Booking that knows your hours

When you switch booking on, patients only see real free times, based on your opening hours, each practitioner's schedule, treatment length, clean-up time and your clinic's time zone.

    Online booking: how it works
  • An assistant trained on your information

We load your treatments, prices, FAQs and documents so the AI assistant can answer practical questions from launch. It gives no medical advice and never books on its own.

    AI assistant: how it works
  • Analytics and lead sources from day one

Website analytics are included, and campaign tags on your links are recorded against each lead. Your first month's reports already show which sources produced enquiries and bookings.

AI assistant

Questions a new clinic's patients ask

People discovering a new clinic ask about the basics. The assistant answers from what you give us, and logs the questions it can't answer so you can fill the gaps in your first weeks.

  • When do you open?
  • Where exactly are you, and is there parking?
  • Is the first consultation free?
  • Who are the practitioners, and what are they qualified in?
  • Do you have an opening offer?
  • Can I book for next week?

Demo clinic assistant

Answers from the clinic's own information

Example conversation
  1. Patient:

Are you doing an opening offer on peels?

  2. Assistant:

Yes, there's an opening offer on selected skin treatments until the end of the month, and the details are on the website. Peels start with a consultation, and you can request one on the consultation page.

  3. Patient:

I'm on acne medication. Can I still have a peel?

  4. Assistant:

That's a question for a practitioner, not me. Please mention your medication when you request a consultation, and the team will discuss it with you.

Settings

Settings new clinics usually start with

These are decided on the discovery call and changed any time afterward from the admin panel.

Online booking per treatment

Off until opening, then on for simple treatments

Early visitors leave consultation requests instead of booking dates you can't yet staff.

Confirmation mode

Manual for the first weeks

You check each request while the team settles in. Unconfirmed requests expire automatically and the patient is told.

Free consultations

Your choice

Decide whether first consultations are free before launch. The whole site updates its wording to match.

Promotion dates

An opening offer with a start and end date

The offer and its promo code appear and disappear on schedule, so nobody quotes an expired launch price.

Reply-time promise

What your team can honestly meet

The site tells enquirers when to expect a reply, and your reports show how quickly the team actually responds.

Your launch checklist: what to send us

Setup starts with a short discovery call. After that, most of the work is ours. The more complete your list, the smoother the build. Our onboarding checklist has the full version.

  • Treatments, with duration, price or price range, and any consultation requirement
  • Prices, or where you prefer “price at consultation”
  • Your team: names, roles, which treatments each performs and weekly schedules
  • Photos of the clinic and team, plus before-and-after images with patient consent if you have them
  • Your logo and preferred accent color
  • Your domain name, or a note that you still need to choose one
  • Opening hours, cancellation policy and arrival instructions

What happens after you send it

We build the site, load treatments, schedules and assistant knowledge, and connect your domain, email and WhatsApp. Then we train your team on the admin panel so they can update prices, offers, reviews and FAQs themselves. The launch timeline is about one week from receiving your clinic details.

Legal pages such as the privacy policy, terms and medical disclaimer start from a template filled in with your details. They are a starting point, not legal advice, so have them reviewed for your clinic.

Building good habits from the first enquiry

A new clinic has a rare chance to start clean. Every enquiry goes into the lead inbox with a stage, an owner and a follow-up date, rather than living in someone's phone. Your reports show first visits, no-shows and median time to first contact from the first week.

If an agency is running your launch ads, see how agencies use Velvet Lead. If you're opening an aesthetic practice, the page for aesthetic clinics goes deeper on treatments and promotions.

Opening in Pakistan or the USA

In Pakistan, prices show in PKR, phone numbers are validated as +92 mobiles, and opt-in WhatsApp confirmations suit patients who find you on Instagram. In the USA, prices show in USD, your time zone includes daylight saving, and email plus opt-in WhatsApp keep patients informed.

Honest fit

Is Velvet Lead right for your new clinic?

Right for you if…

  • Patients will book one-to-one time with a practitioner
  • You're opening one location
  • You'd rather hand the website, booking and assistant setup to one team
  • You want to know where patients come from from the start

Not right yet if…

  • You want to take deposits or sell launch packages online (patients pay at the clinic for now)
  • You plan several branches on one website from day one
  • Your model is mainly group classes
  • You need rooms or machines scheduled separately from practitioners

FAQ

New clinics: common questions

How long does setup take for a new clinic?

Our launch timeline is about one week from receiving your clinic details. It starts with a discovery call, and having your treatments, prices, team details and logo ready helps keep things moving.

Can we collect interest before we open?

Yes. Keep online booking off for treatments and let people use the consultation request page. Each request goes into your lead inbox with where it came from.

We don't have a domain yet. Is that a problem?

No. Tell us on the discovery call. We connect the website to your domain as part of setup, so we'll talk through the name you want.

Do we need a web designer as well?

No. We build the site in your brand using a theme, your logo and accent color. Your team edits wording, offers, reviews and FAQs from the admin panel.

Are the legal pages ready to use?

They start from a template filled in with your clinic's details, and you can edit them. They are a starting point, not legal advice, so have them reviewed.

What does ongoing support cover?

Hosting is yours after launch: the site runs on accounts in your own name and the provider bills you directly. On our side, you pay once, we build and deploy your site to your own hosting accounts, and you own it from there. Setup, launch and team training are included, along with 30 days of support after launch for anything that isn't working as built. Changes and new features after that are quoted separately. Team training on the admin panel is part of setup.
