A clinic appointment waiting list that never books anybody

When a cancellation frees a time, the patients it genuinely suits get an email and a booking link. The first one to book keeps it. Nobody is signed up behind their back.

The cancellation nobody hears about

Cancellations are not the problem. A cancellation that leaves a room empty while patients wait three weeks for the same treatment is the problem.

  • The list in the notebook

    Somebody writes "Ali, laser, Saturdays, call if anything comes up" on a pad. Two weeks later a Saturday frees up and nobody remembers the pad exists.

  • Ringing round on a Friday

    Your front desk works down a list between patients, leaving voicemails. By the time the fourth person calls back, the first has taken the slot.

  • Booked into a time they can't do

    Someone is slotted in as a favour, without being asked. They can't make Thursday afternoons, so the slot is now empty and awkward as well.

How it works

Ask, wait, book it yourself

A patient says what would work for them. A cancellation goes out to the people it fits. They decide.

  1. The patient says what suits

    Which treatment, which practitioner or anyone, between which dates, on which days, and at which times of day. Leaving a part blank means "any".

  2. An appointment is cancelled

    The slot goes back into your real availability the moment it is freed, exactly as it does today, and is bookable by anyone on your website.

  3. The right people are emailed

    Only the patients whose request the freed slot actually matches. The email links to your booking page with the treatment and day already filled in.

  4. The first to book gets it

    Nobody is booked automatically. That way there is one answer to "who has this slot", and you never book a patient who has quietly changed their mind.

  5. The list keeps itself tidy

    Booking the treatment takes the patient off the list, and entries whose last date has passed are cleared out on their own.

It never books anybody, and that is the point

Plenty of systems promise to "fill cancellations automatically". Read that closely and it means a patient can find an appointment in their diary that they did not agree to, made at whatever hour the cancellation happened.

Velvet Lead will not do that. The waiting list is a notification, not a decision. Everyone it suits hears about the slot, everyone can see the same free time in online booking, and the one who books it is the one who wanted it that morning. The clinic ends up with one appointment, one patient and one person who is definitely coming.

Who counts as a match

A patient asking for "laser hair removal, any practitioner, weekday mornings, between now and the end of November" does not want to hear about a Sunday afternoon facial in January.

So the freed slot is checked against the treatment, the practitioner if they named one, the date range, the days of the week and the times of day. Only the people it fits are emailed. Everyone else stays on the list undisturbed, which is the only reason they are still willing to be on it.

Two settings that stop it becoming spam

You set how many people hear about a single free slot. Tell everybody and you get a race; tell two people and the slot may go unclaimed. That balance is yours to pick, and you can change it.

You also set how long before the same person may be offered another slot. In a quiet week with several cancellations, that quiet period is what stops one patient being emailed five times in a morning and unsubscribing from your clinic altogether.

Where the waiting list sits in the day

Waiting-list emails go out through the same queue as every other email your clinic sends, so they are sent, retried and reported in the same way as confirmations and reminders.

It pairs naturally with the self-cancel link on every booking. A patient who cannot come cancels themselves, the slot is released, and the people waiting for exactly that treatment hear about it within minutes. That combination is the practical end of reducing no-shows: fewer empty rooms, and fewer patients sitting on a treatment they would rather have had last week.

What your front desk has to do

Add a patient to the list when they ask, and that is the whole job. There is no list to ring round, no pad to remember and nothing to tick off afterwards.

If somebody would rather be called than emailed, your team can of course still call them. The waiting list is there to make sure the clinic knows who to call, and to handle the ones nobody has time to call.

Honest limits

What the waiting list doesn't do

Read this before you compare it with anything that says "automatic".

  • It never books anybody. It emails the patients a freed slot suits, and the first to book keeps it.
  • It does not rebook for you, move patients between appointments, or hold a slot for someone while they think about it.
  • It notifies by email. There is no waiting-list alert by SMS or WhatsApp.
  • A patient joins the list for one treatment at a time.
  • It offers the times that actually come free. It cannot create availability that isn't there.

Does the waiting list book people in automatically?

No, and it never will. When a slot comes free, the patients it suits are emailed with a link to book it. The first one to book keeps it. That way nobody finds an appointment in their diary they did not agree to.

What does a patient have to tell us to join the list?

Which treatment they want, which practitioner or anyone, the dates they are looking between, the days of the week that work and the times of day. Anything they leave blank counts as "any", so a patient with an open diary can join in seconds.

Will one cancellation email our whole list?

Only if you set it that way. You choose how many people hear about a single free slot, and how long before the same patient may be offered another one, so a quiet week with several cancellations doesn't spam anybody.

What happens when a patient books through the link?

They book it like any other appointment, with the treatment and day already filled in, and get the usual confirmation. Booking that treatment takes them off the waiting list, so they stop hearing about it.

Does anyone get removed from the list automatically?

Yes, in two cases: when they book the treatment they were waiting for, and when the last date they asked about has passed. Your team can also take someone off at any time.

Can patients see they are on a waiting list?

They know because they asked to join, and every email they get says which request it matches. The waiting list is not a queue position, so there is no number to check: it is a request to be told when something suitable comes free.
