Laser hair removal is rarely a one-off appointment. A patient asks about prices, books a patch test, comes back for a first session and then returns every few weeks for a course. Every step is a chance to lose them to a slow reply or a forgotten appointment.
Velvet Lead gives your laser clinic one connected system for that whole journey: a website with clear treatment pages, online booking that knows your practitioners' schedules, an AI assistant that answers the price questions, and reminders that keep the course on track.
Where laser clinics lose patients
“Price for full legs?” at 11 PM
Price questions arrive on Instagram and WhatsApp late in the evening. If nobody answers until morning, the patient may already have booked somewhere that replied.
Courses that quietly stop
A patient books sessions one and two, then misses the third. Nobody notices until months later, and by then they have given up or gone elsewhere.
Saturday is full, Tuesday is empty
Everyone wants weekends and evenings. Juggling practitioners, patch tests and clean-up time in a paper diary or a shared phone leads to double-bookings and gaps.
How Velvet Lead helps
How Velvet Lead handles it
Each part of the system is built around how laser clinics actually run their week.
Prices answered at any hour
The AI assistant answers from your own treatment list, so “How much is underarm laser?” gets your real price or price range, plus a link to book. It never invents a price or gives medical advice.
AI assistant: how it worksPatch tests as their own treatment
Set the patch test up as a short bookable treatment with its own length and clean-up time. New patients book it online, and the first visit is flagged for your team.
Online booking: how it worksReal free slots across every practitioner
Online booking only shows times that are genuinely free, taking into account each practitioner's hours, time off, treatment length and the clean-up time between patients.
Online booking: how it worksReminders that follow the diary
Confirmed appointments get email reminders, and WhatsApp reminders for patients who opt in. If a session is moved or canceled, the old reminder is dropped automatically.
WhatsApp reminders: how it worksKnow which offer brought them in
Run a seasonal promotion with a promo code and start and end dates. The lead inbox shows which Instagram campaign or post each enquiry came from.

Questions your patients ask the assistant
The assistant answers from the treatments, prices, FAQs and documents you give it. Questions it can't answer are logged so you can add the answer.
- “How much is laser for full legs and underarms?”
- “Do I need a patch test before my first session?”
- “Do you have a female practitioner free on Saturday afternoon?”
- “How many sessions will I need?”
- “Can I shave before my appointment?”
- “Is there an offer on full body laser this month?”

Answers from the clinic's own information
- Patient:
Do you have anything for a laser patch test this Saturday?
- Assistant:
Yes, there are free times for a patch test this Saturday. You can pick one and confirm your details on the booking page.
- 11:00 AM
- 12:30 PM
- 3:15 PM
- Patient:
I'm pregnant, is laser safe for me?
- Assistant:
That's an important question for a clinician rather than me. Please ask the clinic directly, and I can request a callback for you if you'd like.
Settings
Settings laser clinics usually choose
You set these once during setup, and the whole website and booking flow follow them.
- Practitioner title
Practitioner or therapist
Your booking flow and treatment pages use the title your team actually goes by.
- Confirmation mode
Manual to start, instant once patch tests are routine
Confirmation mode is one setting for the whole clinic, and you can change it at any time.
- Clean-up time
Set per treatment
Full body sessions may need longer between patients than a small area. Availability respects it automatically.
- Recommended sessions
Shown on each treatment page
Patients see up front that laser is a course, which sets expectations before they book.
- Cancellation window
Your policy, for example 24 hours
Patients can cancel through their manage link inside the window, which frees the slot for someone else.
Keeping a course of sessions on track
Every appointment is recorded against the patient, and your reports show completed visits, cancellations and no-shows by treatment and by practitioner. You can see at a glance whether laser sessions are being kept or quietly dropped.
When a patient cancels through their manage link, the slot opens up for someone else straight away. That matters on a Saturday waiting list more than anywhere.
Built for both markets
In Pakistan, most laser enquiries start on Instagram and WhatsApp. Your website shows prices in PKR, validates +92 mobile numbers, and sends booking confirmations and reminders on WhatsApp for patients who opt in. See clinic websites in Pakistan.
In the USA, your site uses USD and your own time zone, including daylight saving time. Patients get email confirmations and reminders, and WhatsApp for those who opt in. See med spa websites in the USA.

FAQ
Laser hair removal clinics: common questions
Can patients book a patch test online?
Yes. Set the patch test up as its own treatment with a short duration. Patients book it like any other appointment, and first visits are flagged so your team knows who is new.
Can we show prices per body area?
Yes. Each treatment can show a fixed price, a price range or “price at consultation”, so you can list areas as separate treatments or show a range on one page.
Can patients choose a male or female practitioner?
Patients choose from the practitioners who perform that treatment, or pick “anyone available”. Your practitioner profiles show who they are booking with.
Can we sell a course of six sessions online?
Not yet. There are no online payments, so courses can't be prepaid on the website. You can describe courses on the treatment page and patients book each session as an appointment.
Does the system book the laser machine?
No. Only practitioner time is scheduled. If you have one machine per practitioner, that usually works fine. If practitioners share machines, talk to us on a demo first.
