For aesthetic clinics

An aesthetic clinic website that books consultations

Your own branded site where patients read about anti-wrinkle injections and fillers, ask questions late at night, and request a consultation or book a real free slot.

Demo clinic · illustration

Aesthetic patients rarely book on impulse. They follow your Instagram for weeks, save a before-and-after post, message to ask what lip filler costs, and then want to meet the practitioner before anyone goes near their face. That long, careful decision is where most enquiries go cold.

Velvet Lead builds your aesthetic clinic website and sets up the system behind it. Treatment pages that explain injectables and skin boosters honestly, a consultation request page, online booking for the treatments that suit it, an AI assistant that answers from your own price list, and a lead inbox that shows which post or offer each enquiry came from. It works for clinics in the USA and Pakistan.

Why aesthetic enquiries stall

  • “How much for lips?” and then silence

A patient asks about filler prices in a DM, gets a reply the next afternoon, and never answers. Nobody knows whether they booked elsewhere or simply wanted more information first.

  • Consultations that live in a chat thread

First-time injectable patients need a consultation, but requests arrive across WhatsApp, Instagram, the phone and the front desk. Some get booked, some get forgotten, and nobody can say which.

  • A gallery you can't fully stand behind

Your best before-and-after photos sit in a phone folder. Before they go on the website, you want to be sure each patient agreed, and that agreement is usually a message somewhere in a thread.

How Velvet Lead helps

How Velvet Lead fits an aesthetic clinic

Each piece is set up around consultation-first treatments, careful patients and a busy injector's diary.

  • Injectable questions answered overnight

The AI assistant answers from your treatment list and FAQs, so “Do you do anti-wrinkle injections for the forehead?” gets your real price or “price at consultation”, plus a link to request a consultation. It gives no medical advice and never books by itself.

    AI assistant: how it works
  • Consultation first, where it matters

Mark dermal fillers or a first injectable visit as consultation required and switch online booking off for them. Patients send a consultation request instead, and it lands in the same inbox as every other enquiry.

    Lead inbox: how it works
  • Skin boosters and follow-ups booked online

Treatments that suit direct booking, such as a skin booster session for an existing patient, can show real free times. Availability respects each injector's hours, time off, treatment length and clean-up time.

    Online booking: how it works
  • A before-and-after gallery with a consent record

Upload gallery photos from the admin panel, with a record that the patient consented to their photos being used. The consent record stays with the photo, not in a chat thread.

    Clinic website: how it works
  • Offers with a code and an end date

Run a seasonal skin booster offer with a promo code and start and end dates. The assistant knows about current offers, and the lead inbox shows which campaign each enquiry came from.

AI assistant

What aesthetic patients ask the assistant

The assistant answers from the treatments, prices, offers, FAQs and documents you upload. When it can't answer, it offers a callback request and logs the question so you can add an answer.

  • How much are anti-wrinkle injections for the forehead and frown lines?
  • Do I need a consultation before lip filler?
  • Is the consultation free?
  • What's the difference between a skin booster and a HydraFacial?
  • Is there a promo code for skin boosters this month?
  • Can I see before and after photos of your filler work?
  • Who does the injections, a doctor or a nurse?

Answers from the clinic's own information

Example conversation
  1. Patient:

Can I get lip filler next week? I've never had it before.

  2. Assistant:

Lip filler at this clinic starts with a consultation for new patients, so your practitioner can talk through options with you first. You can leave your details on the consultation request page and the team will get back to you.

  3. Patient:

I'm on blood thinners, will I bruise a lot?

  4. Assistant:

Questions about medication need to go to the clinic's practitioners, not me. Please mention it in your consultation request, or I can pass on a callback request so someone from the team can speak with you.

Settings

Settings aesthetic clinics usually pick

These are set once during setup. The website, booking flow and messages all follow them.

What staff are called

Practitioners, or doctors if your injectors are doctors

The whole site uses the same word, so patients know exactly who they'll be seeing.

Consultations free or paid

Your choice, shown site-wide

Aesthetic patients often ask this first. Stating it clearly answers the question before they have to message. Any fee is paid at the clinic.

Consultation required

On for fillers and first injectable visits

Set per treatment, so a skin booster session can stay bookable online while fillers start with a consultation.

Confirmation mode

Manual confirmation

Many injector-led clinics like to check each request first. Unconfirmed requests expire after the number of hours you set, and the patient is told kindly.

Reply-time promise

Your own wording, for example “We reply within one working day”

Sets expectations on the consultation request page, and the email auto-reply confirms the enquiry arrived.

From Instagram post to booked appointment

Most aesthetic clinics already spend time and money on Instagram. The hard part is knowing what it brings in. Tag each campaign link with UTM source, medium and campaign, and every enquiry in the lead inbox keeps that tag. Move each lead from new to contacted, qualified, and booked or lost with a reason.

Because leads link to their bookings, your reports show leads, appointments and revenue by lead source, campaign and treatment. You can see whether the lip filler reel or the skin booster offer produced consultations that turned into visits.

Honest treatment pages for injectables

Each treatment page shows price or “price at consultation”, duration, downtime, how long results last, recommended sessions, aftercare, who it isn't suitable for and a minimum age. Your team writes that content; we load it. Nothing on the page promises a result.

Legal pages, including a medical disclaimer, start from a template filled in with your clinic's details. You can edit them any time. They are a starting point, not legal advice, so have them checked by someone qualified.

Similar clinics, different needs

If laser is a large part of your week, see how courses and patch tests work for laser hair removal clinics. If you're a US practice built around facials, laser and injectables with a spa feel, the page for med spas covers time zones and US wording.

Confirmed appointments get email reminders, and WhatsApp reminders for patients who opt in when they book. If a treatment is moved or canceled, the old reminder is dropped.

Honest fit

Is Velvet Lead a fit for your aesthetic clinic?

Right for you if…

  • Patients see one practitioner at a time for injectables, skin boosters and facials
  • You run a single clinic location
  • You want consultation requests and online bookings in one place, with the source of each enquiry
  • You want a before-and-after gallery with a record of patient consent

Not right yet if…

  • You want patients to pay a deposit or consultation fee online (patients pay at the clinic for now)
  • You sell prepaid treatment packages or memberships on your website
  • You need Urdu or Spanish versions of your site (English only for now)
  • You run several branches from one website

FAQ

Aesthetic clinics: common questions

Can new patients book injectables online without a consultation?

That's your decision per treatment. Mark fillers or first injectable visits as consultation required and switch online booking off, and patients send a consultation request instead. Returning patients' treatments can stay bookable.

Will the assistant tell a patient whether filler is right for them?

No. It answers from your own information, such as prices, treatments, offers and FAQs, and it doesn't give medical advice. Questions about pregnancy, medication or suitability are pointed to your clinic, with a callback request option.

How does the before-and-after gallery handle consent?

Each gallery entry has a record that the patient consented to their photos being used. Your team is still responsible for getting that consent properly; the record keeps it next to the photos.

Can we run an offer on skin boosters?

Yes. Add a promotion with a promo code and start and end dates from the admin panel. It appears on your website, the assistant can mention it, and enquiries from it show up in the lead inbox.

Can we show prices for anti-wrinkle injections by area?

Yes. Each treatment can show a fixed price, a price range or “price at consultation”. You can list areas as separate treatments or show a range on one page.

Do you work with aesthetic clinics in both the USA and Pakistan?

Yes. Pakistan sites show PKR and validate +92 numbers; US sites use USD and your own time zone, including daylight saving time. Both send email and WhatsApp messages for patients who opt in.
