A private practice lives and dies by the appointment book. Patients want to know which doctor is in, what a visit costs and whether there is anything today. When the only way to find out is to call during opening hours, many of them try another practice instead.
Velvet Lead gives private GPs and single-specialist practices a branded website with online booking, an AI assistant for practical questions, and a lead inbox for every enquiry. It is deliberately narrow. It handles booking and enquiries, and it leaves clinical records to the systems built for them.
Where private practices lose appointments
A phone line that is always busy
Monday morning brings a queue of callers asking the same things: is the doctor in, how much is a visit, can I come after work. Some give up and never call back.
Every visit booked as the same slot
A new patient consultation, a short review and a longer assessment all need different time. Booking them as identical slots makes the day overrun or leaves gaps.
Appointments nobody remembers
Patients book a review two weeks out and forget. Without a timely reminder the doctor sits idle, and another patient who wanted that time was turned away.
How Velvet Lead helps
How Velvet Lead runs your bookings
Set up once by our team from your appointment list and doctors' schedules, then managed by your staff from one admin panel.
Appointment types with their own length
List a new patient consultation, a follow-up and a longer assessment as separate appointment types, each with its own duration, fee and clean-up time. Online booking can be switched off for any type that needs a conversation first.
Online booking: how it worksThe doctor, or anyone available
Patients choose a named doctor or “anyone available”. Only real free times appear, based on each doctor's working hours, time off, clinic closures and minimum notice.
Online booking: how it worksPractical questions answered after hours
The AI assistant answers from your fees, opening hours, doctor profiles and policies, and can check live availability. It does not diagnose, never books on its own, and points emergency questions to emergency services.
AI assistant: how it worksReminders that follow the book
Confirmed appointments get email reminders, and WhatsApp reminders for patients who opt in. If an appointment is moved or canceled, the outdated reminder is dropped automatically.
No-show reduction: how it worksPhone and walk-in bookings in the same diary
Your front desk adds calls and walk-ins in the admin panel, so the online diary never offers a time that was just taken at reception.

Example
Example: a new patient consultation page
Each appointment type gets its own page. This layout is illustrative. Your doctors decide the real wording, and the page describes the appointment rather than any clinical outcome.

- How long results last

- Not suitable for

AI assistant
Questions patients ask before they book
The assistant handles the logistics from your practice's information. Anything it can't answer is logged so your team can add the answer.
- “Is there an appointment with a doctor today?”
- “How much is a new patient consultation?”
- “Is a female doctor available this week?”
- “Do you see children?”
- “What time do you close on Saturday?”
- “How do I cancel my appointment?”

Answers from the clinic's own information
- Patient:
Anything with Dr. Ahmed tomorrow after 5?
- Assistant:
Dr. Ahmed has free times tomorrow evening. Pick one and confirm your details on the booking page.
- 5:15 PM
- 5:45 PM
- 6:30 PM
- Patient:
I've had chest pain since this morning. Should I wait for that appointment?
- Assistant:
I can't give medical advice. If you have chest pain, please contact emergency services now. For anything else about your appointment, I can request a callback from the practice.
Settings
Settings private practices usually choose
Chosen once during setup. The website and booking flow follow them.
- Staff wording
Doctors
The whole site, including the booking steps, refers to your team as doctors, which is what patients expect.
- Confirmation mode
Instant for routine appointment types, or manual for every request
Instant suits a practice with a steady diary. Manual suits one that wants to review each request; unconfirmed ones expire automatically.
- Minimum notice
Your cut-off, for example two hours
Late same-day bookings only appear if your front desk has time to prepare for them.
- Arrival instructions
Parking, entrance and what to bring
Shown to patients so they arrive on time and ready, without calling reception first.
- Cancellation window
Your policy, for example 24 hours
Patients cancel through their private manage link, which reopens the time for someone else.
What Velvet Lead does not do
Velvet Lead is a website, booking and enquiry system. It is not an electronic medical record. Keep that in mind when you compare it with practice management software.
If you run a practice in the USA: Velvet Lead is built for appointment booking and enquiries, not clinical records. Practices that need a HIPAA Business Associate Agreement should talk to our team before signing up.
- No EMR or EHR and no clinical notes
- No prescriptions
- No insurance billing or claims
- No telehealth video consultations
- No online payments; patients pay at the practice
Where patients come from
Every enquiry lands in one lead inbox, whether it came from the contact form, a callback request, the assistant, a phone call, a referral or a walk-in. Campaign tags are kept, so you can see which local ad or directory listing sent people.
Your reports show appointments, completed visits, no-shows and first visits by doctor and appointment type. The online booking diary and the reports read from the same data, so nothing needs copying across.
the USA and Pakistan
In Pakistan, your site shows fees in PKR, validates +92 numbers and runs on Pakistan Standard Time, with WhatsApp reminders for patients who opt in. In the USA, fees show in USD, your Eastern, Central or Pacific time zone includes daylight saving, and your contact details ask patients to call the practice.
Single-specialist practices often share needs with other pages here, such as dermatology clinics and eye clinics.

- You bill insurance or need claims handled
- You offer video consultations
- You run several branches or a hospital from one website
- You need a signed HIPAA Business Associate Agreement before any setup (talk to us first)
FAQ
Private doctors: common questions
Is Velvet Lead an EMR or practice management system?
No. It covers your website, online booking, enquiries, reminders and reports. There are no clinical notes, prescriptions, insurance billing or telehealth video.
What should US practices know about HIPAA?
Velvet Lead is built for appointment booking and enquiries, not clinical records. If your practice needs a HIPAA Business Associate Agreement, please talk to our team first.
Can patients choose a specific doctor?
Yes. Patients pick from the doctors who offer that appointment type, or choose “anyone available” to see the earliest free time.
Can some appointment types be phone-only?
Yes. Online booking can be turned off per appointment type. Those appear on your website, and patients use a consultation or callback request instead.
Will the assistant answer medical questions?
No. It answers practical questions from your practice's information, such as fees, hours and availability. It gives no medical advice and points emergencies to emergency services.
Can the front desk still book phone calls?
Yes. Staff add phone and walk-in bookings in the admin panel, and those times disappear from online booking straight away.
