For dermatology clinics

A dermatology clinic website with clear booking

Patients see which appointment they need, medical or cosmetic, book a real free time with the right doctor, and get answers about your clinic at any hour.

A dermatology clinic runs two diaries in one. Some patients come about acne, eczema or a mole they're worried about. Others want a chemical peel or microneedling. They ask different questions, need different appointment lengths, and often need to see different doctors.

Velvet Lead builds your dermatology clinic website and the booking, AI assistant and enquiry inbox behind it, so both kinds of patient find the right appointment without a phone call. It handles the front door of your clinic. It is not a clinical system, and we say that plainly further down this page.

What makes dermatology booking messy

  • The wrong appointment type

A patient books a short cosmetic slot when they really needed a medical consultation about a rash. Your doctor either runs late or asks them to rebook, and neither feels good.

  • Phones busy with “Is the doctor in on Thursday?”

Front desk time goes on schedule questions, fees and directions, while patients who can't get through try another clinic.

  • Cosmetic enquiries left to drift

Enquiries about peels or laser come in through Instagram and WhatsApp with no owner. Nobody follows up, and nobody knows which ones turned into visits.

How Velvet Lead helps

How Velvet Lead organizes a dermatology practice

Built around two kinds of appointment, the doctors who see them, and the questions patients ask before they book.

  • Medical and cosmetic as separate treatments

List a “Medical skin consultation” and a “Cosmetic skin consultation” as separate treatments in their own categories, each with its own duration, fee wording and doctors. Patients choose the right one from the start.

    Online booking: how it works
  • Each doctor's real schedule

Choose which treatments each dermatologist performs and set their weekly hours and time off. Booking only shows free times that fit, including clean-up time between patients and your minimum notice.

    Online booking: how it works
  • Consultation before procedures

Mark procedures such as laser resurfacing as consultation required and turn online booking off for them. Patients book or request the consultation first, and your doctor decides what comes next.

    Admin panel: how it works
  • Practical answers, no diagnosis

The AI assistant answers about fees, doctors, opening hours and preparation notes you've uploaded. Ask it “Is this mole cancer?” and it won't guess; it points the patient to your clinic, or to emergency services for anything urgent.

    AI assistant: how it works
  • Cosmetic leads with an owner

Every enquiry lands in one inbox with its source. Assign it to a team member, set a follow-up date and see whether it became a booking.

AI assistant

What dermatology patients ask the assistant

It answers from the treatments, fees, doctor details, FAQs and documents you give it, such as a fee list or pre-procedure guide. It doesn't diagnose, and unanswered questions are logged for your team.

  • What's the fee for a skin consultation with a dermatologist?
  • Which doctor sees acne patients, and are they in on Saturday?
  • Do I need a consultation before a chemical peel?
  • Is there anything free tomorrow afternoon for a medical appointment?
  • What should I bring to my first appointment?
  • Can you look at a photo of my rash?

Demo clinic assistant

Answers from the clinic's own information

Example conversation
  1. Patient:

Can you look at a photo of this spot and tell me if it's serious?

  2. Assistant:

I can't assess skin conditions or give medical advice. A dermatologist should see it. If you think this is an emergency, please contact emergency services. Otherwise I can show you free times for a medical skin consultation.

  3. Patient:

    Yes please, tomorrow if possible.

  4. Assistant:

There are free times for a medical skin consultation tomorrow. Choose one and confirm your details on the booking page.

What Velvet Lead doesn't do for dermatology

Velvet Lead is for bookings and enquiries. It has no electronic medical records, no clinical notes, no prescriptions, no lab results, no insurance billing and no telehealth video. Notes on a lead are for follow-up, such as “called, will book next week”, not for clinical information.

Keep your patient records in your existing clinical system. Velvet Lead sits in front of it, bringing patients to the right appointment. On US sites, the product is built for booking and enquiries, not clinical records; if your practice needs a HIPAA Business Associate Agreement, talk to our team first.

Reports that separate the two sides

Because medical and cosmetic appointments are separate treatments, reports show appointments, completed visits, cancellations, no-shows and revenue for each, by doctor and by lead source. You can see how busy each side of the clinic is without a spreadsheet.

Confirmed appointments get email reminders, plus WhatsApp reminders for patients who opt in, and outdated reminders are dropped if an appointment moves.

Pakistan and USA, and related clinics

Pakistan sites show fees in PKR, use Pakistan Standard Time and validate +92 numbers. US sites use USD and your own time zone, with daylight saving time handled.

If your cosmetic side is growing, see how injectables and gallery consent work for aesthetic clinics. If laser hair removal is a big part of your week, the page for laser hair removal clinics covers courses and patch tests.

Honest fit

Is Velvet Lead right for your dermatology clinic?

Right for you if…

  • Patients book one-to-one appointments with a doctor at one location
  • You want medical and cosmetic appointments bookable separately on your website
  • You already keep clinical records in another system and want a better front door
  • You want enquiries from Instagram, WhatsApp, calls and walk-ins in one inbox

Not right yet if…

  • You need EMR/EHR, clinical notes, prescriptions or lab results
  • You need insurance billing or eligibility checks
  • You offer telehealth video consultations
  • You run a multi-site dermatology group or a hospital department

FAQ

Dermatology clinics: common questions

Can we keep medical and cosmetic appointments separate?

Yes. Set them up as separate treatments in their own categories, each with its own duration, price wording and doctors. Reports then break results down by treatment.

Does Velvet Lead store clinical notes or prescriptions?

No. It has no EMR, clinical notes, prescriptions or insurance billing. It handles your website, bookings, enquiries, reminders and reports. Keep clinical records in your existing system.

Will the AI assistant diagnose skin conditions?

No. It answers practical questions from your clinic's information, gives no medical advice, and points urgent or medical questions to your clinic or emergency services. It never books by itself.

Can patients choose a specific dermatologist?

Yes. Patients pick from the doctors who perform that treatment, or choose “anyone available”. Only free times within each doctor's schedule are shown.

Can some procedures require a consultation first?

Yes. Mark a treatment as consultation required and switch online booking off for it. Patients book or request a consultation, and your doctor decides on the next step.

Can we take insurance through the booking system?

No. There is no insurance billing and no online payment. Patients pay at the clinic, and you can add a note on your site explaining how fees work.
