For dental clinics

A dental clinic website that books check-ups

Your own site where new patients find your treatments, ask about whitening or aligners after work, and pick a real free time with the dentist they want.

Most people put off the dentist until something prompts them. When they finally decide to book, it is often late in the evening, on their phone, and they want an answer now. If your website only offers a phone number and opening hours, that moment passes.

Velvet Lead builds your dental practice a website that turns that moment into an appointment. Check-ups and cleans are bookable online, cosmetic work like whitening and aligners starts with a consultation, and every enquiry lands in one inbox your front desk can work through in the morning.

Where dental practices lose new patients

  • “Do you do clear aligners?”

Cosmetic questions come in through Instagram, Google and WhatsApp while the front desk is busy with patients in the chair. By the time someone replies, the person has booked a consultation somewhere that answered first.

  • The phone is the only way in

A new patient who wants a check-up has to call during the day, wait on hold and agree a time. Many would rather book a free slot themselves, and some never call at all.

  • Empty chairs from forgotten check-ups

Routine appointments are booked weeks ahead, and patients forget. A missed check-up leaves a dentist idle and a patient who still needs seeing.

How Velvet Lead helps

How Velvet Lead fits a dental practice

Everything below runs on one system, set up with your treatments, your dentists and your prices.

  • Check-ups bookable at any hour

Patients choose a check-up and clean, pick a dentist or “anyone available”, and see only the times that are genuinely free. Each dentist's working hours, time off and the clean-up time between patients are already taken into account.

    Online booking: how it works
  • New patients flagged for the front desk

First visits are flagged on every booking, so your team knows who needs a medical history form or a longer welcome before the patient arrives.

    Admin panel: how it works
  • Cosmetic questions answered from your price list

The AI assistant answers questions about whitening, aligners and veneers using the treatments, prices and brochures you give it. It doesn't assess anyone's teeth or suggest a treatment, and it never books on its own.

  • Aligner consultations tracked to the end

Consultation requests go into the lead inbox with their source, so you can see whether an aligner enquiry came from a Google search or an Instagram post, assign it to a coordinator and set a follow-up date.

    Lead inbox: how it works
  • Reminders before every confirmed visit

Confirmed appointments get an email reminder, and a WhatsApp reminder for patients who opted in when they booked. If the front desk moves the appointment, the old reminder is dropped and the new time is sent instead.

Example: a whitening treatment page

Each treatment on your site gets a page like this. This is an illustrative example only; your dentists write and approve the real wording. Here whitening needs a consultation first, so patients request one instead of booking the treatment directly.

AI assistant

What dental patients ask the assistant

The assistant replies from your treatments, prices, opening hours, FAQs and uploaded documents. Anything it can't answer is logged for your team, and it offers a callback request instead of guessing.

  • How much is a check-up and clean for a new patient?
  • Do you have a female dentist free on Friday evening?
  • Is the aligner consultation free?
  • Can I bring my two children to the same appointment time?
  • I have a broken tooth and it really hurts. Can someone see me today?
  • Do you have any offer on whitening this month?

Answers from the clinic's own information

Example conversation
  1. Patient:

Is there anything for a check-up on Thursday after 5?

  2. Assistant:

Yes, these times are free for a check-up and clean on Thursday evening. Choose one and confirm your details on the booking page.

    • 5:15 PM
    • 6:00 PM
    • 6:45 PM
  3. Patient:

My gum has been bleeding for a week. Should I be worried?

  4. Assistant:

I can't advise on symptoms, so this is one for a dentist. Please call the clinic, and if you are in severe pain or have heavy bleeding, contact emergency services. I can also request a callback for you.

Settings

Settings dental practices usually pick

We agree these with you at setup. The website, booking flow and messages then follow them everywhere.

Staff title

Doctor

Patients see the title your dentists actually use on profiles, treatment pages and the booking flow.

Online booking per treatment

On for check-ups and consultations, off for complex work

Routine visits fill themselves, while treatments like whitening or crowns go through a consultation first.

Free consultations

Your choice, for example free aligner consultations

If consultations are free, the whole site says so, which removes a common reason people hesitate.

Reminder timing

Your choice, for example the day before

Reminders only go to confirmed appointments, at the time before the visit that suits your patients.

Arrival instructions

For example “please arrive 10 minutes early to complete your forms”

New patients know what to expect before they walk in, which keeps the first appointment on time.

From consultation request to booked treatment

Aligner and cosmetic enquiries often take a few conversations before a patient commits. In the lead inbox each enquiry moves from new to contacted to qualified, then to booked or lost with a reason. Notes and activity history mean whoever picks it up next knows what was said.

Your reports then show leads and conversions by source and by treatment, and how quickly your team made first contact. You can see which campaigns bring aligner consultations that become booked appointments, not just clicks.

Built for dental practices in both markets

In Pakistan, prices show in PKR, patient numbers are checked against the +92 format, and WhatsApp confirmations and reminders go to patients who opt in. In the USA, prices show in USD and booking follows your time zone, including daylight saving time.

For US practices: Velvet Lead is built for appointment booking and enquiries, not clinical records. It doesn't store charts, X-rays or treatment notes, and it doesn't handle insurance claims. If your practice needs a HIPAA Business Associate Agreement, please talk to our team before you sign up.

Similar clinics we build for

Many dental patients also ask about skin and facial treatments. If your practice offers those, see how we set up aesthetic clinics. Practices that run consultation-led procedures may also find the approach for eye clinics useful.

Honest fit

Is Velvet Lead right for your dental clinic?

Right for you if…

  • Patients book one-to-one appointments with a dentist or hygienist
  • You run a single practice location
  • You want check-ups bookable online and cosmetic work to start with a consultation
  • You want enquiries from Google, Instagram, WhatsApp and the phone in one inbox

Not right yet if…

  • You need insurance billing or claims handled in the same system
  • You need dental charting, X-rays or clinical records
  • You need dental chairs or rooms scheduled separately from dentists
  • You want patients to pay a deposit online (patients pay at the clinic for now)
  • You run several branches from one website

FAQ

Dental clinics: common questions

Can new patients book a check-up online?

Yes. A check-up is set up as a treatment with its own length and clean-up time. New patients book it like anyone else, and the booking is flagged as a first visit so your front desk can prepare.

Can we require a consultation before whitening or aligners?

Yes. Each treatment can be marked as needing a consultation, and online booking can be switched off for that treatment. Patients then use the consultation request page, and the request goes into your lead inbox.

Does it replace our dental practice management software?

No. Velvet Lead handles your website, online booking, enquiries and reminders. It has no charting, clinical records, X-rays, prescriptions or insurance billing, so practices that rely on those keep their existing clinical system.

Can the front desk add bookings made over the phone?

Yes. Staff add phone and walk-in bookings in the admin panel. They use the same real availability as online booking, and the same dentist can't be booked into one slot twice.

Will the chatbot tell patients whether they need a filling or a crown?

No. The assistant answers from your own information, such as prices, opening hours and FAQs. It doesn't diagnose or recommend treatment, and it points pain or emergency questions to your clinic or emergency services.

Can patients cancel their own appointment?

Yes, within your cancellation window. Every booking has a private manage link, and when a patient cancels, the time becomes free for someone else to book.
