Clinic management features, connected

A website, online booking, an AI assistant, a lead inbox, reminders, courses, vouchers and reports, built as one system for clinics that sell appointments.

Why one system

Separate tools leak patients

Many clinics run on a patchwork: a website built by one designer, a booking app from another company, a chatbot bolted on top, and inquiries tracked in a notebook or a spreadsheet. Each tool works on its own. The trouble is in the gaps between them.

The chatbot can't see which appointments are free. The booking app doesn't know which Instagram campaign brought the patient. Reminders keep going out for an appointment that was moved yesterday. Nobody can say how quickly the team replied to last week's inquiries.

Velvet Lead is built the other way round. Every feature below shares the same treatments, schedules, patients and leads, so the assistant offers real free times, reminders follow the schedule, and every booking can be traced back to the inquiry and campaign it came from. We set it up for you and hand it over.

How they fit together

From first question to completed visit

  1. Before the patient books

Your clinic website explains each treatment properly: price or price range, duration, downtime, aftercare and who it isn't suitable for. When patients still have questions, the AI assistant answers from your own information at any hour and never gives medical advice.

  2. When they're ready

Online booking shows only genuinely free times, worked out from business hours, each practitioner's schedule, time off, treatment length and clean-up time. You choose whether bookings confirm instantly or wait for your team.

  3. Between booking and the visit

Email notifications and WhatsApp reminders keep patients informed. If an appointment moves or is canceled, outdated reminders are dropped automatically. Together with the private manage link, that's how Velvet Lead helps reduce no-shows.

  4. Behind the scenes

Every inquiry lands in the lead inbox with its source and campaign. Your team works from one admin panel, with roles and permissions enforced by the database, and reports show which sources, campaigns, treatments and practitioners bring results.

  5. On the day itself

Availability checks that a room or machine is free as well as a practitioner, so rooms and equipment can't be double-booked. The practitioner's day goes out to their own calendar, and the treatment they write up takes its batch out of stock by itself.

  6. And afterward

A course keeps the count of sessions left, the waiting list tells the right patients when a slot frees up, gift vouchers bring new people in, and patients see their own appointments, sessions and points on their account page.

Honest limits

What Velvet Lead doesn't do yet

Online payment is limited to booking deposits and gift vouchers, and both need Stripe: no full payment of a treatment bill, no point of sale, no memberships or recurring billing. A no-show fee is recorded, not charged to a card. The waiting list never books anybody. Campaigns are email only, with no automations or open tracking, and reach only patients who agreed. The patient's own page shows nothing clinical. Calendar feeds are read-only and one way. SMS is reminders only. No WhatsApp chatbot or booking inside WhatsApp. English-only websites. One location per website. One-to-one appointments only. Clinical records, but not a full EMR: no e-prescribing, insurance billing or telehealth video. If you need any of these today, we'll tell you on the demo. See who Velvet Lead is built for.
