Keeping the diary realistic

A long first consultation followed by two short reviews is hard to fit into a diary without gaps. Online booking only offers times that genuinely fit, counting each practitioner's working hours, time off, appointment length and the clean-up time you set between patients.

Front desk staff can add phone and walk-in bookings from the admin panel, so the same diary covers every route in. Patients get a private manage link to cancel within your cancellation window, which frees the slot for someone else.

Seeing which enquiries became patients

Enquiries from the contact form, consultation requests, the assistant, WhatsApp, social media messages, referrals and walk-ins all land in one lead inbox. Each lead links to its bookings, so you can see who came in for a first consultation and who didn't.

Your reports show appointments, completed visits, cancellations and no-shows by practitioner and by appointment type, compared with the previous period.

What we keep out of your website

We don't write claims about conditions or outcomes, and the AI assistant is set up to stay practical. Questions about pregnancy, medication or emergencies are pointed to the clinic or to emergency services.

Velvet Lead is not a case-notes system. There are no clinical notes, patient records or prescriptions in the product, so your case-taking stays in the tools you already use.

In Pakistan, your site shows fees in PKR, runs on Pakistan Standard Time and validates +92 mobile numbers. In the USA, fees show in USD, your time zone includes daylight saving time, and your contact details invite patients to call. Both markets get email, plus opt-in WhatsApp reminders.

Can first consultations and follow-ups have different lengths?

Yes. Each is set up as its own appointment type with its own duration, fee and clean-up time, and availability is calculated separately for each.

Will the assistant recommend remedies to patients?

No. It answers practical questions from your clinic's information, such as fees, hours and availability. It gives no medical advice and points clinical questions back to your team.

Will you write claims about what homeopathy treats?

No. Your appointment pages describe what happens at a consultation. Any wording about conditions is your clinic's responsibility, and we recommend keeping it factual.

Do patients have to use WhatsApp?

No. WhatsApp confirmations and reminders only go to patients who opt in when they book. Everyone receives email confirmations and reminders.

Can patients book online and pay the fee at the same time?

Not yet. There are no online payments, so patients pay at the clinic. You can add a payment note that explains how and when to pay.

Can we store case histories in Velvet Lead?

No. Velvet Lead handles the website, booking, enquiries and reminders. It has no clinical notes or patient records, so keep case histories in your existing system.
