Clinic booking software or a website that books?
General booking software serves many kinds of business. Velvet Lead is a clinic website with booking, an assistant and a lead inbox built in. Here is how they compare.
Booking software is a big category. Some tools are simple scheduling links. Others are full business platforms for salons, gyms, studios and clinics, with payments, point of sale, packages and multi-location support. Many are mature, feature-rich and used by a very wide range of businesses.
Because they serve so many industries, these tools tend to focus on the calendar and the transaction. The website that patients read before booking, the questions they ask, and where enquiries came from are often handled elsewhere, or covered more lightly.
Velvet Lead starts from the other end. It is a clinic website built to turn visitors into booked appointments, with online booking, an AI assistant and a lead inbox included. It does less than a large booking platform in some areas, and we say where.
| Topic | General booking software | Velvet Lead |
|---|---|---|
| Built for | Many appointment-based businesses | Clinics with one-to-one appointments at one location |
| Your website | Varies: a booking page, a widget, or a basic site builder | A complete multi-page clinic website on your own domain |
| Treatment information | Usually service name, duration and price | Also downtime, results, sessions, aftercare, suitability and minimum age |
| Online payments and deposits | Commonly offered; check the provider's current features | Not available yet; patients pay at the clinic |
| Groups, packages and memberships | Often supported | Not supported; one-to-one appointments only, nothing sold online |
| Multiple locations | Often supported | One location per website |
| Rooms and equipment | Some tools schedule them | Only practitioner time is scheduled |
| Reminders | Often email and SMS; channels vary by provider | Email, plus WhatsApp for patients who opt in; no SMS |
| Patient questions before booking | Varies; often a separate chat tool | Built-in assistant answers from your information and checks live free times |
| Enquiries that aren't bookings yet | Often outside the tool | Forms, consultation requests, chatbot, phone and DMs in one lead inbox |
| Setup | Usually self-serve; you configure it | We set up treatments, schedules, chatbot knowledge, domain and WhatsApp, and train your team |
We compare approaches, not specific companies. For any provider's current features and prices, check their own website.
What general booking software does well
Established booking platforms are used by a very wide range of businesses, and that breadth often shows in their features: online payments and deposits, packages and memberships, class scheduling, resource booking, multi-location management and, in many cases, point of sale and SMS.
They are usually self-serve, so you can sign up and start taking bookings quickly. If your business needs any of those features, a general platform may be the right choice, and you should check each provider's site for current details.
Where the general approach can feel thin for clinics
A patient considering a treatment usually wants more than a list of times. They want to know the price or price range, the downtime, how many sessions they might need, and whether it suits them. General tools don't always have a place for that.
Clinics also get a lot of enquiries that aren't bookings yet: consultation requests, questions about price, messages on Instagram. Many booking tools only see the appointment, not the conversation that led to it.
- Treatment detail lives on a separate website, if there is one.
- Questions at night go to a separate chatbot, or wait.
- Enquiries that never became bookings aren't tracked.
- It's hard to see which campaign brought a patient who booked.
What Velvet Lead does differently
Velvet Lead puts the website, the booking and the enquiries together. Treatment pages show price (or a range, or "price at consultation"), duration, downtime, aftercare and who the treatment isn't suitable for. The booking flow shows only real free times, accounting for clean-up time, time off, minimum notice and your time zone.
The assistant answers patients' questions from your own information, checks live availability and links to the booking page. It doesn't give medical advice and never books by itself.
Every enquiry goes into the lead inbox with its source and campaign tags, and links to its booking when there is one. Reports then show leads, conversions, no-shows and revenue by source, campaign, treatment and practitioner. Confirmations and reminders go by email and WhatsApp.
Choosing between them
Start with what you can't do without. If your answer includes payments, classes, packages, several branches, SMS or room scheduling, a general platform is likely the better fit today.
If your clinic sees patients one-to-one at one location, and your bigger problem is turning website visitors and messages into booked appointments, Velvet Lead is built for that. It suits clinics such as med spas, dental clinics, massage therapy practices and weight loss clinics.
For costs, check each provider's current pricing page, including any per-staff, per-message or transaction fees, and compare with our pricing.
Which is right for you?
An honest answer
When Velvet Lead is the better choice
- You need a full clinic website as well as booking, and don't want to hire a designer.
- Patients ask a lot of questions about price, downtime and suitability before booking.
- You want night-time questions answered from your own information, with a link to real free times.
- You want enquiries that aren't bookings yet tracked in one inbox.
- You want to see which sources and campaigns turned into appointments.
- You send reminders by WhatsApp to patients who opt in, as well as by email.
- You want your team set up and trained rather than configuring a tool alone.
When general booking software is the better choice
- You need online payments, deposits or card details to hold a slot. Velvet Lead has none of these yet.
- You sell packages, memberships or gift cards online.
- You run group classes, such as yoga, pilates or antenatal classes.
- You manage several locations and want one system across them.
- You need rooms or machines scheduled as well as practitioners.
- You need SMS reminders.
- You need an EMR or EHR, clinical notes, insurance billing or telehealth video. Velvet Lead doesn't include these.
- You already have a website you are happy with and just need a calendar on it.
- You want to set everything up yourself today without talking to anyone.
FAQ
Common questions
Is Velvet Lead just booking software?
No. Booking is one part. Velvet Lead is a complete clinic website with online booking, an AI assistant, a lead inbox, email and WhatsApp reminders, reports and an admin panel, set up by our team.
Does Velvet Lead take payments or deposits?
Not yet. Patients pay at the clinic. If taking payment at booking is essential for you now, general booking software that offers it may be a better fit.
Does Velvet Lead send SMS reminders?
No. Reminders go by email, and by WhatsApp to patients who opt in when they book.
Can Velvet Lead handle more than one branch?
Each Velvet Lead website is for one location. Clinics with several branches would need a separate site for each, or a platform built for multi-location businesses.
